Good Smoke BBQ Catering Terms and Conditions

Booking and Deposit
A deposit of at least 50% of the quoted order total is required to confirm your catering order. You may adjust the payment amount on the invoice to pay 50% or more. An order is not confirmed until Good Smoke BBQ has accepted the order and received the required deposit. All orders are subject to availability.

Short-Notice Orders and Rush Charges
Orders confirmed 2–7 calendar days before the event are subject to a 15% rush service charge. Orders confirmed on the calendar day immediately before the event are subject to a 25% rush service charge. The 25% charge replaces the 15% charge; the two charges are not added together.

Rush charges are calculated on the catering subtotal before sales tax and gratuity and will be shown on the invoice. These charges cover the additional administration and coordination required for short-notice orders. They are not gratuities or tips and will not be distributed as gratuities to employees providing service. Applicable sales tax will be added.

Next-day orders are subject to menu, staffing, and delivery availability. Same-day requests require a separate quote and written acceptance.

Final Payment
The remaining balance is due on the event date, before pickup, delivery, or the start of service, unless otherwise agreed in writing. A final invoice will be provided before payment is due. Good Smoke BBQ may withhold pickup, delivery, or service if the required payment has not been received.

Cancellations and Date Changes
Cancellation requests must be submitted in writing to info@goodsmokebbq.com.

If cancellation is received at least 7 calendar days before the event, 75% of the required 50% deposit will be refunded. If cancellation is received fewer than 7 calendar days before the event, the required deposit will not be refunded. Any payments exceeding the required deposit will be refunded.

Date changes are subject to availability and written approval. A requested date change does not automatically transfer the deposit or avoid the cancellation policy.

If Good Smoke BBQ cancels the order for reasons other than the circumstances addressed under “Events Beyond Our Control,” all payments will be refunded.

Menu, Guest Count, and Order Changes
Final menu selections, guest count, event address, and pickup or delivery arrangements must be confirmed at least 7 calendar days before the event. For orders accepted within that period, these details must be confirmed when the order is booked.

The confirmed guest count or quantities will be used for billing. Reductions after the final confirmation deadline will not reduce the price. Increases and other changes are subject to availability, written approval, and any additional charges disclosed before acceptance.

Dietary Restrictions and Allergies
The client must disclose dietary restrictions and food allergies when placing the order. Good Smoke BBQ will confirm which requests it can accommodate. Our kitchen handles common food allergens, and we cannot guarantee an allergen-free preparation environment. The client is responsible for communicating the agreed menu and allergen information to guests.

Included Services and Venue Access
Only the food, delivery, staffing, setup, serving supplies, equipment, and cleanup expressly listed on the accepted quote or invoice are included.

For orders requiring onsite setup or breakdown, the client must arrange venue access at the agreed times, including up to 2 hours before and after the event when specified in the quote. The client must disclose access restrictions, stairs, parking limitations, and venue requirements in advance.

Additional equipment, rentals, staffing, or waiting time will be charged only at rates disclosed and approved in writing.

Chafing Fuel and Food Handling
Good Smoke BBQ team members do not light chafing fuel. The client must designate a responsible adult to light and supervise it in accordance with the manufacturer’s instructions and venue rules.

For pickup and drop-off orders without ongoing Good Smoke BBQ staffing, the client is responsible for following the food storage, holding, reheating, and serving instructions provided after the food is handed over.

Equipment and Damage
The client is responsible for loss of or damage to Good Smoke BBQ equipment caused by the client or guests, excluding normal wear and damage caused by Good Smoke BBQ personnel. Rental return requirements and replacement charges will be disclosed in writing.

Good Smoke BBQ carries liability insurance. Proof of insurance may be requested in advance.

Events Beyond Our Control
Neither party will be responsible for delays or inability to perform caused by circumstances reasonably beyond its control, including severe weather, natural disasters, or government restrictions. The affected party must notify the other promptly. The parties will first attempt to arrange an acceptable alternative. If performance is not possible, payments for services not provided will be refunded, less documented, nonrecoverable event expenses already incurred.

Acceptance and Governing Law
These terms are governed by New York law. By accepting the quote or invoice and paying the required deposit, the client agrees to these terms. Any exceptions or changes must be agreed to in writing.
